Successful sales requires up-to-date information and room to manoeuvre by eliminating tedious routine tasks. The complete integration of Sales provides direct access to all required information. Details of delivery dates, availability and conditions are queried online and initial planning and reservations can also be carried out during quotation and order processing, if required. This means that all of the required resources are used optimally.
The Sales module supports the entire sales process, from enquiry management through to shipping of products and subsequent invoicing. The various transaction types play a key role here: enquiry, quotation, order, call-off order and immediate invoices. In addition, orders can be labelled as primary orders, warranty cases, complaints, stock orders or internal orders. The implementation assessment and the implementation opportunity can be recorded for the evaluation and prioritisation of customer transactions.
Planning activities can be initiated directly from PSIpenta ERP / Sales procedures. Depending on the coverage situation for standard or configurable items, as well as calculation of the deadline, the required work orders (multi-level) are automatically generated. It is up to the user to decide whether an item that is unlikely to be reused is entered in the basic data or created as a made-to-order part without an item number (one-off) in the order-related division. During this process, growing bills of materials are supported.
The options available in the Sales module can be used to map almost all common price determination methods. Price determination is either based on price lists, freely negotiated or order-specific costed prices (costing results) are used. It is also possible to use the different item prices from the basic data area directly as the price basis. The customer item reference contains customer-specific data for the sales items. Specifically agreed prices, scales, discounts and the product item number are stored here.
The centrally manageable sales agent data is integrated into customer transactions and customer data, and is useful for statistical analyses and closing routines. Commission rates and information valid for a specific item, goods category or product group is stored in the sales agent commission references. These commissions are calculated based on contributions and posted in costs. The customer master can be used to assign multiple sales agents to a customer and is used when creating transactions.
The company-specific processes between sales and shipping are conveniently mapped and can be adapted easily and flexibly in the event of any changes. In addition to the easy mapping of shipping processes using shipping instructions and delivery notes (standard), complex transactions with commissioning, packing, shipment and cargo formation can also be handled (optional add-on module). Invoices and delivery data are generated on the basis of customer transactions. This enables the data in the customer order and the subsequent shipping and invoice data to be compared.
Depending on the selected shipping processes, the specific types of order invoices are created, based on customer transactions, shipping instructions and delivery notes, or based on invoices already created. Order, down payment, pro forma and combined invoices and credit notes exist for use in billing. These forms include the corresponding contra entries and cancellation options. Generation and posting/cancellation of commission invoices occurs in parallel if required. All forms are continuously documented in the order invoice journal.
An effective sales controlling system is supported by predefined statistics and journals. The statistical data is populated for a specific period by the corresponding day, month or year-end close. For example, PSIpenta Sales contains statistics for quotation entry, order entry or turnover in line with various criteria (sales agents, items, product groups etc.).
The Contact Management module allows simple management of contact persons, creation and tracking of campaigns and monitoring of tasks and deadlines. Linking contact management with Microsoft Exchange® enables it to be incorporated into the flow of information throughout the company. Dates and activities can be copied to the calendar or task list in Microsoft Outlook®. Contact persons can also be synchronised with the contacts.
